Circulation

The circulation process in our “Institute Library” involves the procedures and activities related to lending and returning library materials to its users, typically students, faculty, and staff. The circulation process ensures that library resources are efficiently managed, borrowed, and returned in a systematic manner.

The circulation process in our Institute Library:

  • Membership and Borrower Registration:
    • Students, faculty, and staff of the institute are eligible to become library members. They need to register with the library by providing necessary identification and contact details.
    • After registration, borrowers are issued a library card or an identification number that will be used for borrowing and returning materials.
  • Borrowing Materials:
    • Library users can search for materials they wish to borrow through the library’s catalog.
    • Once the desired item is located, borrowers present their library card or identification number to the circulation desk staff to check out the item.
    • The library staff scans the barcode on the item and the borrower’s library card to record the transaction in the integrated library system (ILS).
    • The due date for returning the borrowed item is determined based on the library’s lending policies.
  • Renewals
    • In some cases, borrowers are allowed to renew the borrowed materials for an extended loan period if no other users have requested the item.
    • Holds and Reservations:
    • If a desired item is already checked out, borrowers may place a hold or reservation on the item.
    • When the item becomes available, the borrower is notified, and the item is set aside for a specified period for them to pick up.
  • Returns
    • Borrowers are responsible for returning items on or before the due date to the circulation desk .
    • Library staff checks in the returned items, updating the status in the library’s ILS and making the items available for other users.
  • Overdue Items and Fines:
    • The library charge 1 Rs. Per day as fines for late returns. No charges are allowed for staff and faculty.
    • If an item is lost or damaged while on loan, the borrower is typically responsible for reimbursing the library for the cost of replacement or repair.
